4. Cookies, Google Analytics, and YouTube Embeds

4.1 Cookies and Similar Technologies

We use cookies and similar tracking technologies to:

  • Enable core website functionality
  • Remember your preferences
  • Analyze traffic and usage patterns
  • Support marketing and communications activities

Some cookies are strictly necessary for the operation of our website. Others (such as analytics and marketing cookies) are non‑essential and are used only with your consent where required by law.

You can manage or disable cookies through your browser settings. Depending on your jurisdiction, you may also be presented with a cookie banner or preferences tool that allows you to accept or reject certain categories of cookies.

4.2 Google Analytics

We use Google Analytics to help us understand how visitors use our website. Google Analytics uses cookies and similar technologies to collect information such as:

  • IP address (which we configure, where possible, to be truncated/anonymized)
  • Browser and device information
  • Pages visited and interactions with our site
  • Time and duration of visits

This information is generally aggregated and does not directly identify you. Google may process this information on our behalf and may store it on servers outside your country of residence.

Where required (for example, under GDPR and PIPEDA), we only activate Google Analytics after you have consented to analytics cookies via our cookie banner or settings.

You can also opt out of Google Analytics by:

  • Using our cookie settings tool (where available), and/or
  • Installing the Google Analytics opt‑out browser add‑on, where supported.

4.3 YouTube Embeds

Our website may include embedded YouTube videos to provide educational or promotional content. These embeds are provided by Google/YouTube.

  • When you view or interact with an embedded YouTube video, YouTube may collect information about your device, viewing activity, and IP address, and may place cookies or similar technologies in your browser.
  • Where possible, we implement privacy‑enhanced mode or similar settings so that YouTube limits tracking until you actively play a video.
  • In jurisdictions requiring consent (e.g., the EU/UK and Canada), we may only load YouTube content after you have accepted the relevant cookie or tracking category (e.g., “Media” or “Marketing”).

You can learn more about YouTube and Google’s data practices in their respective privacy policies.

Legal Bases for Processing (PIPEDA/UK GDPR)

Where the PIPEDA or UK GDPR applies, we rely on one or more of the following legal bases:

  • Your consent, for example to send you certain marketing communications or to place non‑essential cookies (such as Google Analytics and YouTube/HubSpot tracking cookies)
  • Performance of a contract or steps taken at your request prior to entering into a contract, e.g., when responding to business inquiries or delivering requested materials

  • Compliance with legal obligations, where we are required to process personal information by law

You may withdraw your consent at any time where consent is the legal basis, without affecting the lawfulness of processing before withdrawal.

6. How We Share Your Personal Information

We do not sell your personal information for money. We may share information as follows:

  • Service providers and processors: We share personal information with third‑party service providers who process data on our behalf, such as HubSpot (CRM and marketing), website hosting providers, and analytics partners including Google Analytics. When you contact us, we may need to verify your identity before responding to your request. In some cases, we may not be able to fully comply with your request, for example where doing so would conflict with legal obligations, the rights of others, or our ability to establish, exercise, or defend legal claims.

You can also manage certain preferences directly by:

  • Using the unsubscribe link in marketing emails to opt out of future marketing communications
  • Adjusting cookie and tracking preferences through our cookie banner or browser settings

10. Data Security

We use appropriate technical, administrative, and physical safeguards designed to protect personal information from unauthorized access, use, or disclosure. These measures include access controls, encryption or pseudonymization where appropriate, secure hosting, and staff training.

However, no method of transmission over the Internet or method of electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security.

11. Data Retention
